Vegas Wedding - optional welcome party and itinerary cards

I have been plowing through my destination wedding planning up until this point, so I need you guys!!! Wedding is Feb 9, 2020.

1)I want to have a casual welcome party pay for 1 drink and some apps or just have the guest pay as I am paying for their dinner, alcohol, and transportation the night of the wedding. I don't want to be cheap and not pay, but whoa these places in Vegas are expensive and as I've mentioned I'm paying for their evening the next night. Most everyone is staying at the mirage or the linq. Does anyone have suggestions for bars that would be inexpensive for 40 people. I want to say less than $400 (I think I'm fooling myself). Or a location that would accommodate up to 40 if we just showed up.

2) We are sending invites this wk and don't have a plan for all this yet because the wedding is still 4 months away so won't be including itinerary stuff in the invitation. How do we get that information to the guest? I thought about welcome bags and have found stuff to include for $4.30/person. Thought about email and texting an itinerary. Thought about mailing but that would involve buying envelopes, stamps, and printing.

Bottom line, good place to have a welcome party whether we pay for 1 drink or just have the guest pay? How to get itinerary info out to the guest?

Please be nice in responses, doing the best I can. I want people to have a good time and get to see everyone more than just one night, but at the same time I am not made of money either. Thanks in advance!!!

    Does the hotel that you’re staying at, the Mirage or the Linq have a bar that could accommodate this? Having it in a hotel where the majority of your guests are staying may be easiest on them.

    In relation to the itinerary, do you have a wedding website where you could post the information? If not, emailing it or including it in the welcome bags sound like good options Smiley smile

    We’re having the same problem with what to do for a welcome party. We have approximately the same number of guests and we’re trying to find something to do to get everyone together and not break the bank. I see your post was from a few months ago. We were considering renting a party bus to take us to special spots along the strip, but unless we get a few more “no”s, we have too many people. What have you decided?

    I'm getting married in February, so it will be too cold. But if you're getting married in warmer months they have a double decker bus with a tour. They make stops. Allow you to bring your own beer and white wine. I believe it was $900, but don't quote me.
    Brooklyn Bowl was another option, but they were having a concert. They were willing to work with me, but still >$3000. They have various room options with menu selections without bowling. They quoted $100/lane for 1 hour and provided an apps/drink menu and didn't mention any minimums. They only problem is they do concerts and if there are concerts there is a minimum and each guest needs a ticket.
    Hussongs was an option. Not sure your budget, but the cheapest pkg was $29/person + gratuity. They have an open bar option, so you don't have to pay for alcohol, but still expensive.

    Bucca did Bepo, can't remember their per person rate, but similar to Hussongs they have a cash bar option for everyone to pay for themselves.
    Depending on where you're staying if they have a big enough suite or air bnb to accommodate your crew. You could do insuite and then get it catered or even go to Vons where they have platter options. Cons to me were we couldn't find a suite big enough, would need transportation if I chose an off strip air bnb, some hotels have security to the suites so not sure if they would let people up, and some catering places charge a stupid rate to bring food into a hotel.
    A very creative way to get everyone together ( that I didn't try) would be to book multiple reservations through OpenTable. Maggianos is a good one. You can book 20 people at a time. It allows you to do 2 and they confirmed me. This would allow for you to do something informal, let everyone know where you will be if they would like to join for dinner and then everyone could pay. You could maybe get apps for everyone. They have a section for notes, so you could potentially request to be seated near each party. Not sure if they could accommodate. Maggianos also has rooms you can book, and I think one may be a drink and apps options. So look into that too.
    I opted to have a rehearsal dinner with the wedding party, which totals 10 people (small wedding) and then informally notifying everyone through text, word of mouth, and email that we will be meeting at XYZ lounge if you would like to come have a drink or meet up after our dinner.

    So we are back from our wedding. It was the best time ever. I ended up sending my cousin to Rhumbar in the Mirage right as they opened and they pulled together table and chairs for us. They even had a DJ. Everyone was dancing. We had a waitress, so anyone who ordered drinks thru her it had to be on one tab. It ended up being around $400. Everyone else ordered from the bar. But better than the **** minimum they quoted me if I reserved ahead of time.


    We ended up doing welcome bags with these hangover supplements from hubby's friends work, sunglasses, and water. I printed out an itinerary thru zazzle and used their 50% discount code. I hand delivered some bags and others were sent to the room via bell hops. The bags were a hit and gave people details for the wkend. I also updated our wedding website with the same deets and referred to that in the itinerary.
