Transportation help!

Kaitlyn, on May 17, 2021 at 2:08 PM Posted in Virginia Planning 0 5
I'm looking for transportation services in the Newport News, VA area. We are estimating to have 100-120 people. Our venue is close to where we will be doing our hotel block and therefore I am not trying to spend a fortune on something that will be such a quick trip! Especially because I anticipate having to rent something for 7-8 hours just to use MAYBE an hour of that time on the actual transportation. I was considering just doing school buses?! If anyone has any recommendations, or knows of any services that even just do pick up & drop off, please let me know!

Is there one venue or two? How far from the hotel? Will everyone be at that hotel or somewhere else? Generally guests expect to transport themselves where they need to go.

One venue! It's about a 10 minute ride. Even though it's close and an uber would be easy, I would like to at least offer transportation. I'd say a majority of the guests will be at the same hotel so I think it would make it easier. Our ceremony begins at 5:00 and reception goes until 11:00, so the idea of renting transportation from 4:30ish to 11:15 or so just seems like a waste of money since we will only be using it for the beginning and end periods of time! I was trying to see if there was a service that offered pick up & drop off so I wouldn't be charged during the whole time. I did find one company that offers that which just makes way more sense to me. I'm ok with renting for the whole time if it isn't an absurd amount of $$ though. I was also considering either using two companies, one for pick up and one for drop off. Or, just renting transportation for ONE way, either pick up or drop off, and that way everyone is responsible for getting there but we will get everyone back to the hotel. I wanted to kind of avoid having to order a TON of ubers either before the ceremony to get people there, or afterwards to get back to the hotel/leave the venue. I just think that would be too much and I don't want people to have to deal with that.

But that's also why I was thinking of school buses haha I'm clearly not looking for anything super nice since it's such a short ride, but I do think it would be nice to offer it..... I know that whenever I go to weddings it definitely is a nice gesture to not have to worry about getting there/getting back to the hotel afterwards. It's fun to ride with everyone! I think I'd also feel better knowing everyone has a way of getting there and wouldn't run into problems (unless they missed it and in that case they're on their own haha)

I think school busses are fine. I've been to weddings where we used school busses. The only thing I would say is, if you're offering it, you need to offer it both ways. Our hotel had a shuttle we could rent for like $200 for the night. It didn't fit everyone in 1 go, but it was only a 5 minute drive (1 mile each direction), so it just kept making a loop.

That's a great idea. I'm going to check with the hotel because Ideally that would make more sense. Even if I could do the shuttle for getting people there and then renting with a company to bring them back to the hotel or something, it would at least be less expensive. Thank you for your input!!!
